Reservations & Events Coordinator
The Reservations & Meetings Coordinator is a part-time position during the school year, and full-time (8 - 5) during the summer.
Summer Responsibilities include:
- Under tight deadlines, import or data-enter large amounts of attendee data for a variety of groups; assign rooms and produce check-in materials and reports for conference and custodial staff.
- Audit and reconcile all check-in data after conference departs. Prepare detailed reports of summer guests for Conference Planners for billing. Resolve disputed or missing information will summer desk staff.
- Correspond with potential summer visitors via email and phone. Create reservations and back office paperwork for visitors. Reconcile billing addressing any follow-up questions from summer visitors.
Academic Year Responsibilities include:
- Interface with campus staff, students and faculty as well as and off-campus clients and community members.
- Answer general inquiry questions and provide facility site tours.
- Handle meeting space reservation requests. This includes checking availability, reserving the space, coordinating event details, producing event reports, and following up with the billing.
- Prepare transient occupancy materials using a variety of computer software and systems. Send reminder emails and administer client/guest satisfaction surveys.
