Coastal Fund Administrative Coordinator

The Coastal Fund Administrative Coordinator provides assistance to the Coastal Fund Board of Directors and the Environmental Programs Advisor by taking minutes at weekly meetings, printing, filing, and organizing grant applications and related paperwork, managing the Coastal Service Program, and performing basic office management such as email correspondence, mail sorting, message taking, et cetera.

Duties
  • Check Coastal Fund email and voicemail accounts, respond to any messages or forward on to appropriate party
  • Stock office display with relevant literature and brochures
  • Maintain office order and cleanliness, greet drop-in visitors and offer assistance as needed
  • Process and file any new Coastal Service Program participation requests
  • Attend Coastal Fund Board meeting and present Administrative and Coastal Service Program reports
  • Take minutes at all Board meetings and distribute to Board members and listservs as required
  • Update grant files to reflect any Board decisions, communicate decisions to respective grant holders
  • Confirm attendance and prepare paperwork for any upcoming Coastal Service Program events, process paperwork for payment
  • Develop and advertise calendar of Coastal Service Program events
  • Print and file grant applications, contact applicants to schedule in-person presentations
  • Track budget and provide updates to Board as needed
  • With help from supervisor, compile grant requisition packet
  • With help from supervisor, draft and send out grant agreements for successful grant applicants
  • Prepare quarterly summary of Coastal Service Program events and funding
  • Work with Coastal Fund Outreach to compile information for Annual Report
  • Provide program update at Coastal Fund Gala
  • Other duties as assigned by supervisor
Requirements
  • Must be able to attend Coastal Fund Board meetings from 6pm to 9pm or later on Tuesdays during the 2019-2020 academic year
  • Must have a general interest in the coast and in coastal preservation
  • Must be extremely organized with great attention to detail
  • Must be able to track multiple projects at once, particularly at the beginning and end of each quarter
  • Must be very professional over email correspondence
  • Must be extremely comfortable with Google Docs and spreadsheets
  • Office experience is highly beneficial, though not required
